Logistics - Shipping Instructions
The co-exhibitors are responsible for shipping their equipment to and from the venue. CharIN will help with coordinating the delivery of exhibition items to the booth onsite.

You must keep your return shipment papers and hand them over to CharIN at the end of the exhibition.
Ordering Exhibitor Passes
Each co-exhibitor package includes one complimentary exhibitor pass, and you have the option to purchase additional exhibitor passes or observer passes at a discounted rate. To claim these passes, please follow these steps:
1. Claim Your Included Exhibitor Pass
- Download the Excel form and fill it out with the name of the person using the complimentary pass included in your package. Please reach out to us if you need assistance filling out the spreadsheet.
- While drinks and snacks are included with your ticket, lunch is not. If you would like to purchase a lunch voucher for a restaurant located directly at the exhibition (€25 per lunch), please indicate this in the spreadsheet.
2a. Order Additional Exhibitor Passes (€180 each, until May 23)
- Use the same Excel form to list any additional staff members requiring exhibitor passes.
- Send the completed form to CharIN via email by May 23 to secure the discounted rate of €180 per pass.
- Note: there is a 10€ surcharge per day for drinks and snacks at the CharIN Booth.
2b. Order Observer Passes (€530 each, until April 15 -> 730€ each, until May 23)
- Use the same Excel form to list any additional staff members requiring observer passes.
- Send the completed form to CharIN via email by April 15 to secure the discounted rate of €530 per pass.
- After April 15 and until May 23, additional observer passes will be available at €730 per pass.
- Note: there is a 10€ surcharge per day for drinks and snacks at the CharIN Booth.
3. Receive your supplementary invoice after the event
Note:
Both passes include access to the exhibition & Welcome Reception (Sunday, June 15th), as well as snacks and drinks at the CharIN Booth.
On top of that, the observer pass includes plenary, main stage, and scientific sessions.
